At Link Fund Solutions, we collect personal information about you and are committed to protecting this information and your privacy. Set out below is an explanation of how we use, collect and safeguard your personal information.

What personal information do we collect? 

We may collect information about you in the following ways:

  • As part of your use of our website you have the option on certain pages within this site to submit personal information to us by email, online enquiry or application form. Depending on the services, products or information you request from us, we may ask you to provide the following personal information: 

    • Your name, date of birth, address, email address (optional), telephone number and gender

    • Your National Insurance No

    • Your bank account details

    • Details of transactions you carry out through using our website

  • We also use cookies and your Internet Protocol (IP) address (see section “How do Link Fund Solutions websites use my Internet Protocol (IP) address and collect cookies?” below for further details).

  • We may keep a record of any correspondence you have with us, including any telephone calls which we may have a legal or regulatory obligation to record (we will inform you at the beginning of the telephone conversation if recording will be necessary);

  • A promoter, investment manager, sponsor, fund manager, administrator or the depositary/trustee (as applicable) of the relevant collective investment scheme

We may disclose your information to the following third parties:

  • Any person with legal or regulatory power over us (such as the Financial Conduct Authority, the Pensions Regulator, police or the Serious Fraud Office) that may require disclosure on legal grounds,

  • HM Revenue & Customs and tax authorities in overseas jurisdictions,

  • Credit reporting agencies for the purposes of verifying your identity,

  • Members of the Governance Advisory Arrangement (GAA) of the relevant pension plan,

  • Service providers engaged by us to help us run our business. Such service providers may include, for example, pension administrators, cloud storage providers (engaged by us to provide electronic storage facilities for our business data and your information), analytical optimization service providers (engaged by us to track and analyze how parts of our website are used by our customers); and or

  • Any member of the Link Group which means our subsidiaries, our ultimate holding company and its subsidiaries (from time to time) as necessary.

Some of these third parties (including Link Group subsidiaries and service providers) may be outside of the European Economic Area (EEA). We will ensure that any such subsidiary or service provider has put in place adequate safeguards to ensure that your information is held securely and in accordance with this Privacy Policy. By submitting your personal data, you agree to the transfer, storing and/or processing of your information by these subsidiaries or service providers.

Revoking Consent  

Where consent has been previously given by you for specific purposes (for example opting to receive information on products, services or additional benefits), you can revoke this consent at any time. It should be noted that by providing the required personal information within your application to join a given pension scheme through us, you accept that it is necessary for us to share your personal details with third parties (including the pension scheme administrator etc.) in order to provide our services to you. If you decide that you no longer wish for us to share your personal details with such third parties, you can revoke your agreement to this by bringing to an end your membership of the pension scheme with us.      

How do we keep your information secure?  

We store the information you provide about yourself in a secure database and take appropriate security measures to protect such information from unauthorised access. For example, we have adopted internal data protection procedures and trained our staff on them with a view to preventing breaches of security. All exchanges of information between you and our website are through encrypted channels designed to prevent the interception and/or misappropriation of your personal and other information.

You recognise that that your use of our website is entirely at your own risk. As Link Fund Solutions websites are grouped to the internet, which is inherently insecure, Link Fund Solutions cannot guarantee the information you supply will not be intercepted while being transmitted over the internet. Accordingly, Link Fund Solutions has no responsibility or liability for the security of personal information transmitted via our website.

How long will we store your information for?  

We generally hold your personal data on our systems for up to 7 years after your last transaction with us to provide any ongoing services to you and discharge our legal and regulatory obligations.

  • Right to be informed/Right of access – you have the right to know if we are using your information and, if so, the right to access it and information about how we are using it.

How do Link Fund Solutions websites use my Internet Protocol address and collect cookies?  

Each time you use our websites, we will automatically collect certain technical information, including the type of browser you use, the IP address used to connect your computer to the internet, and information about your visit, including the full Uniform Resource Locations (URL), clickstream to, through and from our sites, traffic data and other communication data, the resources that you access, and the information derived from the cookies we place on your mobile device and/or computer. The data collected by WebTrends will be stored exclusively for analytical purposes and does not result in any personally identifiable data being collected or stored. WebTrends will send your computer a persistent cookie in order to evaluate your use of this site. WebTrends may also transfer this information to third parties where required to do so by law, or where such third parties process the information on WebTrends' behalf.
